New Employee Orientations

Generally, new employees will obtain their first Mcard free during the Human Resources New Employee Orientation.  Faculty and staff may also obtain their Mcards at an ID Issuing Station with a completed Mcard Request and Change form.  Cardholders who are affiliated with the University Health System must obtain their Mcards at the Key & ID Office

Please bring government photo ID (i.e., driver's license, state ID, passport) with you.  People wearing sunglasses, hats, caps, bandanas, etc. will be required to remove them before their photo is taken.

People who have a previous Mcard will be required to turn it in to obtain the employee Mcard.  Employee Mcards are valid up to five years.  The University department or unit name will print under cardholder's name and not their title.  Employees with multiple appointments choose the most appropriate single department/unit name printed on their Mcards.   There is not a means of printing multiple department/unit names on Mcards.

New temporaries from U of M Temporary Staffing Services can bring a completed Mcard Request and Change form to an ID Issuing Station for their first free Temporary Mcard. Cardholders who are affiliated with the University Health System must obtain their Mcards at the Key & ID Office

Retirees

University retirees, including professors emeriti, can obtain their first Retiree Mcard for free at any ID Issuing Station.  A completed Mcard Request and Change form or Human Resource retirement letter is required for the production of the Retiree Mcard.  ID Issuing Station staff will require verification of emeritus status to print an Emeritus or Emerita Mcard.  Retiree will be required to turn in employee Mcard, unless it was turned in to supervisor, at the time of Retiree Mcard issuance.  Retiree Mcards are valid for five years.  After five years, retirees can exchange expired card for a new card.  Expired Mcards must be turned in, otherwise a replacement fee will apply.  Please contact the Human Resources Benefits office for details regarding retiree benefits with the Mcard.

Care of Mcards

Care of Mcards

It is very important that Mcards be handled with care, similar to the way care is taken with driver's licenses or credit cards.  Mcards should last four to five years without failure.  It is advised that Mcards not be placed next to any embossed cards (e.g., ATM, Debit, or credit cards) as the raised characters can cause damage to the Mcard black magnetic stripe.  Mcards that are turned in to an ID Issuing Station because of normal wear and tear are replaced for free.  Cardholders could be charged the Mcard replacement fee if it is apparent that the cards were abused from such damage reasons in the red image above and others.  Examples of abused Mcards

ID Issuing Stations provide a cardholder and clip or neck chain for those cardholders required to wear their Mcards.

Changes or Leaving?

Incorrect or changed names on Mcards require the cardholders to provide proof (driver's license, marriage license, etc.) and complete Human Resources form.  About 20 to 30 minutes after that office makes the necessary changes, cardholders can generally take their old Mcards to an ID Issuing Station to obtain new corrected Mcards.  A call to the Mcard Center 734 936-2273 can verify if the change has occurred.  Also see Preferred Name.

Employees who also become University students have the option to turn in their Mcards to an ID Issuing Station (Health System Mcards only issued at the Key & ID Office) and obtain Mcards which have their department listed on the obverse and the word "STUDENT" printed on the reverse above the black magnetic stripe.

Employees who change departments can bring a completed Mcard Request and Change form and their old Mcards to an ID Issuing Station (Health System Mcards only issued at the Key & ID Office) for their new Mcards.  Employee Mcards are valid up to 5 years from the date of issuance. 

Expired Mcards are required to be turned in to an ID Issuing Station in order to receive new Mcards for at no charge.

Permanently leaving the University requires that the Mcard be turned into an ID Issuing Station or to the department/unit supervisor. The supervisor will forward this Mcard to the Mcard Center.
